What to do with SharePoint 2010?

Photo_sanjeev SharePoint 2010 is released in its new Avatar with enhanced collaboration and enterprise content management features, which enables, an organization to connect and empower people through formal and informal business communities, within the company and beyond, and to manage content effectively throughout the information lifecycle. In short, it is a strategic platform for enterprise for delivering applications, team-working and workflow throughout the organization.
Industrial Revolution, R&D, Innovation & Creativity, Technical Gadgets have made lot of contribution to the modern enterprises to enable the smooth functioning of day-to-day business operations. However, one of critical element of these entities that has not changed since then is PEOPLE; they are the key assets of any organization. The success and growth of an organization is equally measured in proportion with people (employees) – knowledge, skill & competency.

Today, every employee needs a collaboration and communication platform. Every organization should have a mandate to plan a roadmap (strategy and vision), align various Y-o-Y collaboration initiatives with corporate goals. Efficient and effective tools, knowledge or information worker productivity, established business process, quality, standards, compliance, governance are the elements for a stronger collaborative platform.

Every year IT budget is allocated and the same needs to be spent in the given period or invested for future returns. In the past, enterprises that have spent their budget on SharePoint 2007, in my opinion have invested in Collaboration initiative and are very successful. SharePoint is one of the biggest success stories with over 100 million installations. This will almost double, with migrations / upgrades to SharePoint 2010.  Companies are seeking to leverage the collaborative (Out-of-Box) features available in the product like SharePoint.

As published in Microsoft TechNet and Forrester Research study, The Total Economic Impact of Microsoft SharePoint Server 2010, commissioned by Microsoft:

  • Break-even on investment to upgrade to SharePoint 2010 comes in 10.4 months, factoring in only direct costs and not accounting for the associated productivity gains;
  • For a model organization of 5,000 users, the upgrade will produce $3.1 million in savings over a period of three years (on an investment of approximately $1.5 million), largely because it offsets the need for other upgrades to Web services that SharePoint replaces;
  • Costs are limited by the Microsoft Software Assurance program, which combines software update and support services into the licensing program to provide ongoing management support for SharePoint 2010 and Office 2010, among other Microsoft products.
What you can do with 2010?  The following are some of the business scenarios that can be addressed through SharePoint:

Portals:
A successful portal strategy secures an immediate return on investment by dynamically aggregating content, functions and features into a high-performance workspace relevant to the user's specific role and responsibilities. While many see portals as focused on the needs of their users, companies seeking to achieve high performance are also recognizing the measurable bottom line impact portals can have when approached strategically (example: KM Portal, Legal Portal, Employee Self-Service Portal, PMO Portal, HR Portal, Finance Portal and so on).

Collaboration Sites:
Collaboration solutions have the power to improve a big part of our lives: the way we work. The time we spend just looking for the right expertise and information to do our jobs can add up. It will help people work smarter and drive business benefits by deepening valuable relationships, making better decisions quicker, spurring innovation, and reducing costs (example: MySite, MyFavourties, MyContacts, Wiki, Blogs, Discussion Forums / Ask the Expert and Quick Search) Extranet, Intranet and Internet (.COM) sites
An extranet/intranet allows businesses to share documents, calendars, manage projects and communicate with distributed employees, partners, and customers. Some businesses use their extranet as a customer portal to enhance customer relationships. Extranet functionality enables 24x7 private, secure access to collaborative tools with just an internet connection (example: Corporate Intranet Site, Department / Division  Intranet Sites, Customer Portal / Extranet Site, Supplier Portal / Extranet Site,  Vendor Portal / Extranet Site, Partner Portal / Extranet Site, Agent / Broker Portal / Extranet Site).


ECM Solutions:
ECM will provide business users with rapid access to the information and services they need to help them do their jobs more efficiently make better-informed business decisions and enable their organizations to become smarter, thus more competitive. Therefore, ECM solutions effectively help your enterprise optimize the value of its information at a lower total cost at every point in the information lifecycle (example: Document Management, Web Content Management, Digital Asset Management, Digital Rights Management, Records Management, Imaging, Enterprise Content Integration and Enterprise Search).

BI - Integration and KPI based Dashboards / Reporting:
SharePoint has lot of OOB (Out-of-Box) APIs and BDC/BDS to integrate with SAP and other systems. MS-DUET is the latest tool between SAP + MOSS. These integration features allow users to increase productivity by providing a seamless and integrated tool to end users from their desktop to data in Line of Business Systems (example: SAP and SharePoint  (Duet), PeopleSoft  and CRM, Integration with (in-house) LoB Apps and Integration with 3rd Party /CTOS)

This is one of the biggest challenged area for existing SharePoint user base, as official mainstream support for SPS2003 has already ended in  2009 and most of the existing 2003 and 2007 clients (over 100 million installation base) are looking to migrate to 2010 for its latest ECM features. Secondly, because of easy to configure, deploy and adopt – SharePoint is most feasible and cost effective compared to other leading products like Louts Notes, Plumtree, Documentum,etc. Hence there is a need to upgrade to SharePoint2010. (example: Upgrade 2003 to 2007 to 2010, Upgrade 2007 to 2010, Other CMS to 2010 - Lotus to SharePoint, Plumtree to SharePoint, Jahia to SharePoint, ColdFusion to SharePoint, Vignette to SharePoint, Documentum to SharePoint)

SharePoint already enjoys an impressive market according to anecdotal reports. InfoTrends’ latest research indicates that comprehensive U.S. SharePoint revenues – including licenses, hardware, software, and services – will surpass $5 billion in 2012.

According to Forrester, companies using Office 2010, Share Point 2010, Exchange 2010 and Office Communications Server 2007, can expect a 300 per cent return on their investment in less than a year. Microsoft also announced a partnership with Nokia, where Office Mobile 2010 will be available on Nokia smart phones, real time access and editing facility, anytime, anywhere, on the go. Also Microsoft is betting big on the enterprise customer, hoping that the cloud based collaboration server will drive sales of its new productivity suite. With its latest offering, SharePoint 2010 promises to transform your Office experience even on the go, through the cloud.

In 2010, 28% of organizations deploying Windows SharePoint Services have also deployed Microsoft Office SharePoint Server. By 2014, we expect that 54% of organizations using Windows SharePoint Services will also deploy Microsoft Office SharePoint Server.

In conclusion, the empowerment of employee is the key for enterprise to succeed. SharePoint 2010 can unleash this power. Sooner you do it, the faster and better the results.
